- Description
We are seeking a Receptionist with strong administrative skills to join our team on a permanent basis. With a focus on customer service, the successful candidate will be running the front-of-house operations and will be based in our office in Dublin city centre. A key member of the team, the Receptionist will be responsible for providing a courteous and friendly service as the first point of contact for visitors and for executing all administrative tasks to the highest quality standard.
Responsibilities
- Greeting and welcoming visitors as soon as they arrive at the office
- Answering, screening and forwarding incoming phone calls. Taking messages and emailing updates to the team members as required
- Managing meeting room bookings and set up of meeting room
- Ensuring Reception, public areas and external meeting rooms are maintained and set up for visitors
- General administrative duties including managing incoming and outgoing mail, booking couriers and taxis, ordering supplies for office and binding reports.
- Recording employee travel and related expenses
- Coordinate itineraries for visiting executives (including organization of meetings; transportation arrangements; preparing detailed itineraries etc.).
- Assisting with passport and visa applications
- Escalating any facilities management, cleaning or supplier issues to the Office Manager
- Monitoring stationary and facilities stock, ordering supplies and tracking costs
- Uploading invoices to workflow
- Liaising with notaries; Department of Foreign Affairs; and consular offices for legalisation of documents as necessary
- Arranging outgoing post, couriers and pick-ups for the team
- Other ad-hoc team support duties as required
